Privacy policy

Label : Version 1.0 — effective 2026-10-19.

This policy describes the personal information that KTMA SOLUTIONS (“KTMA”, “we”) processes when you visit its public website or write to it through its forms. Each KTMA product has its own privacy policy.

1. Who is responsible

KTMA SOLUTIONS, a corporation incorporated in Québec (7002, boulevard Guillaume-Couture, Lévis (Québec) G6V 0C1, +1 579 458 2173), is responsible for the information described here. The person responsible for the protection of personal information is designated by title: “Person responsible for the protection of personal information”. To reach this person: contact@ktmasolutions.com, subject “Protection of personal information”.

How a form works. The information you enter is sent by the site by email, through KTMA’s messaging service, hosted in Canada, to the contact@ktmasolutions.com mailbox. The site does not save it in any database and does not add your network address or your browser identification to the message; it sends no automatic email to the visitor. Technical data related to this transmission may be processed and temporarily retained by the messaging provider, depending on how it operates and the applicable retention periods. A hidden field is used to detect bots.

Commercial communications. A request from you does not subscribe you to any commercial communications. We do not send you promotional messages without your express consent, in accordance with Canada’s Anti-Spam Legislation.

We do not sell your information, do not run targeted advertising, use no audience-measurement tool, and carry out no profiling or location tracking of our visitors. We make no decision based exclusively on automated processing. See the page on cookies and local storage: the site does not set any cookies.

Do not send us passwords, banking information or health information through a form.

3. Who has access to your information

  • KTMA staff who need it to respond to your request.
  • Our technical service providers (site hosting, email sending and receiving service), acting as agents, under written agreement and only for our purposes.
  • Authorities, where the law requires it.

No disclosure for advertising purposes; no sale.

4. Hosting and disclosures outside Québec

The site and KTMA’s messaging service are hosted in Canada. Information about providers and about the countries where your information is processed is provided on request at contact@ktmasolutions.com. We do not disclose personal information outside Québec without first carrying out the privacy impact assessment required by law and without a written agreement ensuring adequate protection.

5. Retention periods

KTMA SOLUTIONS retains personal information only for the period necessary for the purposes for which it was collected or used, subject to the retention periods provided by law. The following rules apply:

  • Contact, project, quote and appointment requests: the information is retained during the processing and commercial follow-up that is actually necessary, for a maximum of twenty-four (24) months after the last substantive exchange relating to the request. It may be destroyed sooner when retaining it is no longer necessary. Merely keeping a file or sending an automatic communication does not extend this period.
  • Contractual relationships: when a request results in a contract, only the information necessary to perform it, to manage the client relationship and to comply with applicable legal obligations is retained, according to the periods specific to those purposes. Information that is no longer necessary is destroyed or anonymized.
  • Commercial archiving: KTMA does not retain identifying files on prospects or clients indefinitely for general prospecting purposes. Separate archiving is carried out only for information whose retention remains necessary for a specific, legitimate and documented purpose, within the limits applicable to that purpose.
  • Technical and security logs: their retention is limited to the period necessary for security, abuse prevention and diagnosis, subject to legal obligations and incident management.
  • Browser local storage: items saved locally remain in your browser until they are deleted by you, by the site’s mechanisms or by your browser.

Destruction also covers copies and archives of the mailbox; the provider’s backup copies are deleted according to their rotation cycle and are not restored for other purposes. When the applicable periods expire or as soon as the purposes are fulfilled, the information is securely destroyed or irreversibly anonymized. Additional retention may be necessary when a law requires it or for the established needs of a dispute; it is then limited to the information and the duration necessary.

6. Security

We apply security measures proportionate to the sensitivity of the information: encrypted transmission on the site, access limited to staff who need it, and limits on the number of requests. In the event of a confidentiality incident presenting a risk of serious injury, we notify the Commission d’accès à l’information and the persons concerned, and we keep a register of incidents.

7. Your rights

You may request access to your information, its correction, its deletion or the cessation of its dissemination where the law allows it, withdraw a consent and, where the law provides for it, obtain your computerized information in a structured, commonly used technological format. Write to contact@ktmasolutions.com (subject: “Protection of personal information”). We verify your identity and respond in writing, with reasons, within 30 days of receiving the request, indicating the available remedies if we refuse. You may file a complaint with us, then with the Commission d’accès à l’information du Québec or, as applicable, the Office of the Privacy Commissioner of Canada.

8. Minors

The site is intended for adult visitors; we do not seek information from children under 14. If you believe we hold such information, write to us.

9. Applicable laws

We are established in Québec and apply the Act respecting the protection of personal information in the private sector (Québec) and, where it applies to our activities, the Personal Information Protection and Electronic Documents Act (PIPEDA). The site does not target the European Union or Cameroon.

10. Changes to this policy
